Mastering the Sales Order Fulfillment Worksheet in QuickBooks Enterprise
Efficient order fulfillment is the heartbeat of any product-based business. When your warehouse, inventory team, and accounting staff work from the same real-time information, everything moves faster-orders get picked correctly, packages get shipped on time, and customers stay happy.
In QuickBooks Enterprise Platinum, one of the most powerful tools for managing this workflow is the Sales Order Fulfillment Worksheet. In this guide, we walk through each tab and feature to help you understand how to streamline your pick, pack, and ship processes.
What Is the Sales Order Fulfillment Worksheet?
The Sales Order Fulfillment Worksheet provides a centralized dashboard where you can track, manage, and process every open sales order-whether it's waiting to be picked, currently packed, or already shipped. Instead of jumping between lists or individual orders, QuickBooks Enterprise gives you a complete fulfillment view in one place.
Step 1: Opening the Worksheet
You can access the Sales Order Fulfillment Worksheet by navigating to:
Customers → Sales Order Fulfillment Worksheet
If you use this tool daily, consider creating a desktop shortcut for even faster access.
Step 2: Understanding the Dashboard Layout
When the worksheet opens, you'll see all open sales orders organized by fulfillment stage. The clickable filters at the top help you instantly narrow down what needs attention.
Order Stages You Can View
All Sales Orders - Every open order, no matter the status
Open - Nothing picked yet
Picked - Items picked but not packed
Packed - Ready to ship
Shipped - Completed orders
The colors of these filters match the colors used in the status column, making it easy to visually track progress.
Smart Filtering Options
QuickBooks gives you flexible ways to narrow down your list:
Filter by Customer or Sales Order Number
Use the search bar on the left to locate orders quickly. Type a customer name or part of a sales order number to jump directly to what you need.
Filter by Inventory Site
Perfect for companies with multiple warehouses or storage locations.
Options include:
All Sites
Multiple Sites
Unassigned
A specific site of your choosing
Filter by Fulfillable Status
This helps you identify which orders can ship today:
Yes - Fully fulfillable
Partial - Some items available
No - Out of stock items
All - View everything
Filter by Date Range
You can choose:
Last 14 days
Last 30 days
Last 60 days
All items
A custom date filter would be a helpful future enhancement, but the current options still work well for managing workloads by age of order.
Dashboard Details: What You'll See
Each row shows:
Sales Order number (clickable)
Date of order
Customer and job
Shipping address
Items to pick/pack
Status
Shipping details
Site
Fulfillable status
Action column (for processing next steps)
The batch action feature allows you to update multiple orders at once-ideal for busy warehouse teams.
Step 3: Navigating the Pick Tab
The Pick Tab shows all items needed for the picking stage. Key columns include:
Sales Order number
Pick List Name
Inventory Site
User who created the pick
Creation date
Number of items to pick
Notes for the picker
Pick Status
Action buttons to review or update picklists
You can also print picklists or packing slips directly from this tab.
Sorting and filtering tools help keep your workflow prioritized-sort by site, status, or picklist number to tackle orders in the right order.
Step 4: Navigating the Pack Tab
Once items are picked, they flow into the Pack Tab, where packers finalize quantities and prepare shipments.
You'll see similar fields to the Pick Tab, but with a focus on packing:
Sales Order number
Packing List Name
Site
Assigned packer
Created By / Created On
Items to pack
Notes
Pack Status
Action buttons to update or print packing lists
Just like the Pick Tab, you can sort columns and filter by packer, fulfillable status, or packing list number.
Step 5: Using the Express Pick-Pack Tab (For Combined Workflows)
If your warehouse team picks and packs orders at the same time, the Express Pick-Pack tab is the most efficient option.
It consolidates both processes, reducing duplicate steps and updating statuses automatically.
The columns include:
Sales Order number
Express Pick-Pack List
Site
Assigned packer
Created By / Created On
Number of items
Notes
Status
Action tools to update quantities and add package dimensions
You can print packing slips directly from this tab as well.
Keeping Everything Updated
The worksheet provides real-time visibility-but only if you use the Refresh button. Anytime an order is changed or updated elsewhere (like by the warehouse team), click refresh to get the latest data.
Currently, QuickBooks doesn't allow customizing columns in this worksheet, but this is a highly requested update that may appear in future versions.
Why This Worksheet Matters
By streamlining order stages, reducing manual entry, and organizing order visibility, the Sales Order Fulfillment Worksheet helps your team:
Reduce picking/packing errors
Speed up fulfillment
Prevent duplicated work
Improve customer satisfaction
Ensure accounting always has accurate order statuses
